What are we solving?
Safety managers need to communicate critical information to employees to assist them in completing forms in eCompliance, whether they are completing an inspection, documenting a daily site safety meeting, or reporting an incident.
This information sometimes needs to be delivered as a picture, such as an illustration depicting common deficiencies in personal protective equipment (PPE), or a standard operating procedure (SOP) outlining the steps to complete a task successfully.
How does eCompliance solution help?
Previously, our users were unable to add these supporting materials (images and documentation) to form headers or questions. We have resolved this issue by enhancing the form templates in eCompliance to allow for the attachment of images and other types of documents.
This new feature will help safety managers ensure that employees have the required information to effectively participate in critical health and safety activities and complete important tasks that support a safe work environment.

How to use Visuals in Forms?
Here are the steps on how to add a reference file (image or document) to to a form template.

Log into eCompliance and navigate to the Inspections, Incident/Hazards, or Meetings module.

Edit an existing form template that you want to add supporting documents or images to or start a new form template from the templates tab.
Note: this feature applies for both scored and non-scored form templates. -
Attach reference documents to the header of the form template.

Locate the “Attach Reference Documents to Header” field in the header of the form. This field is used to add supporting documents or images to the form header.

Link public documents from your site by using the “Link Public Documents” button. Click this button then select the desired attachments. Click the “Done” button when you’re finished selecting the attachments and they will appear on the form template.

Upload an attachment stored on your computer by using the “Upload From Computer” button. Click this button then select and open the desired attachment on your computer. Once you open the attachment it will appear on the form template.

Attach reference documents to specific questions on the form template.

Locate the “Attach Documents” field on the question you want to add supporting documents or images to.

Link public documents from your site by using the “Link Public Documents” button. Click this button then select the desired attachments. Click the “Done” button when you’re finished selecting the attachments and they will appear on the form template.

Upload an attachment stored on your computer by using the “Upload From Computer” button. Click this button then select and open the desired attachment on your computer. Once you open the attachment it will appear on the form template.

Click the attached reference document to view it. Clicking an attached document type will download it to your computer. Once downloaded you can then open and view the document. Clicking an attached image will open a preview of the image directly on the form template itself.

To remove an attachment that you’ve added from the header of the form or a specific question, simply click the “X” button beside the attachment you want to delete and click “Remove”. If the reference document is an image type, you can also remove it by previewing and then clicking the garbage icon on the top right of the preview screen.

There’s a new toggle on the header of the form template labelled “Require Reference Documents To Be Downloaded”. If the toggle is on, mobile app users will be required to download all reference documents attached to the form template before the form can be submitted. If the toggle is off, then mobile app users can choose if they want to download any reference documents on the form. Safety managers can determine whether or not they want to enable this feature.
Note: The benefit of enabling this feature is that once downloaded on a mobile device the employee can then view the attached files (documents and images) when they are offline (do not have internet access). -
Once you have added all your supporting documents and images to the header of the form and the specific questions on the form template, and have made your choice on the “Require Reference Documents to Be Downloaded” toggle, then save the form template.

Publish the form template to your site. Once published, as the form is created by eCompliance users they can view and download all of the supporting files (images and documents) that were added to the form template.
