There are a few ways to give an external auditor temporary access to the site(s) they will need to view as they audit your safety program.
Here are two common ways:
1. If you know the auditor will need view-only permission, you can create an employee profile for the auditor first
- Employees Module "Add Employee"
- Select the baked-in permission "Viewer" and the site(s) they need to look at
- Complete the mandatory fields
- Add a termination date, if you know when they'll be finished
- Click "Save & Send Invite"
- Let the auditor know and have them check their spam/junk folder
- Once they accept the invite they'll be able to log in as a viewer.
2. if the auditor needs custom permissions, beyond "View-only" the steps will differ and you may need to set up a new Permission Group:
- To set up a bespoke/custom permission
- Next, go to the Employee Module "Add Employee"
- Assign the auditor the custom permission group you created, add the sites they need access to, and complete the mandatory profile fields
- Add a termination date if you know when they will be finished.
- Click "Save & Send Invite"
- Let the auditor know and have them check their spam/junk folder
- Once they accept the invite they'll be able to log in with access based on the custom permissions you created for them.
*In either case, there is no need to add a "job profile" - it is a non-mandatory field for Training requirements.
*You'll need to set a reminder to deactivate their profile after the audit if you don't set one.
