Branding your Account and Forms
Utilizing the top navigation bar when you first log in you can upload your logo.
To update your login page & account with your logo, navigate to the Setup button > Settings > Branding. Remove the default system logo and upload your own logo keeping to the recommended file type of JPG or GIF and a file size of 215 x 61 pixels.
To have your generated forms from inspections have your logo this can be completed by going to the Setup button > Settings > Organizations. Click on Edit beside the Primary Organization header which brings you to the Primary Site allowing you to upload your Logo to the PDF Report Image at the bottom of the page. Use the recommended file type JPG, GIF, or PNG and a file size of 200 x 50 pixels.
Note: The account logo and report logo can be the same, but they could be different if you have branding guidelines for internal vs. external.
Organizing your Site Tree
Field iD uses the site tree to keep your employees organized along with your assets. The Primary Organization is the name of your company and the top of the site tree.
Important: Employees with access to a site, will have visibility and access to all sites below.
To build or edit your site tree navigate to the Places button.
In Field iD you can go 2 levels deep with the site tree, clicking on the Add Descendant button will create a subsite under your Primary Site, and then clicking on the Add Division button on a Descendant will create a subsite under that.
Create a New Site
For Select Level when creating a new Descendant choose Job Site. The ID & Name fields are required and will be identical, this is the name of the subsite.
Creating New Employees
To create employees and assign them access proceed to the Setup button > Owners, Users & Locations > Users.
This screen is where you will manage existing employees and add new ones. Create a new employee by clicking on Add, the first prompt you receive is to determine the type of user from 4 options:
- Administration User - The ability to create new data, perform events, manage system configuration, run searches and reports
- Inspection User - The ability to perform events and run searches and reports
- Reporting User - The ability to assets and events and run searches and reports
- Person - Can't log in - they are a tracked user
Tip: You can build variations of Administration and Inspection users where you can toggle on/off permissions so that each Administration and Inspection user may differ across employees.
After you select a user type you will land on the employee profile page to begin creation:
Account
- Username - the credentials for the employee to log in, a common example is taking the first letter of the first name followed by the employee's last name
- Assign Password - Toggled on allows you to assign the password for the user, toggled off will allow the employee to set their own password upon initial login
- Send Welcome Email - Toggle on to send a welcome email upon creating their employee profile
Recommendation: Hold off on sending the welcome email until you have the account set up and you are ready to start rolling out to employees.
Localization
- Country - Indicate the country that the employee is working in
- Time Zone - Set the time zone the employee is in
Identifiers
- Owner - Select where this employee should have access to in your site tree (Remember: Access cascades down!)
- Email Address - Set the email address for the employee to receive notifications from Field iD
- First Name - Employee's first name
- Last Name - Employee's last name
- Initials, ID, Position, and Digital Signature can be used if applicable
Permissions
The permissions allow you to determine what this employee can do at the site where you have set them up at.
- Identify Assets - The ability to create new assets
- Manage System Configuration - Manage system setup (If you are Admin of the account you should have this permission toggled)
- Manage System Users - Create and edit employees
- Manage Job Sites - Create and edit the site tree
- Create Events - Complete inspections on assets
- Edit Events - Open and edit previously completed inspections
LOTO Permissions
- Author/Edit Procedure - The ability to create new and edit existing lock out/tag out procedures
- Certify Procedure - The ability to certify newly created procedures - peer review procedures before they are published for use
- Delete Procedure - Delete existing procedures
- Maintain Schedules - Setup and maintain LOTO procedure schedules
- Perform Procedure - Run through the procedures on Field iD
- Print Procedure - Ability to print out completed procedures
- Procedure Audit - Perform audits on procedures
- Unpublish Procedure - Unpublish previously published procedures
Upon setting up the employee profile you can hit Save to create the profile (Remember: If you have the Welcome Email toggled it will send an invitation email to the employee)
Data Import
Field iD offers the functionality to mass import data, in relation to this article, this will cover both Job Site and Employee imports.
Sites
Prior to importing users, you will need to have the site tree built out so that you can import the user to the correct site. To import sites, click on the Setup button > Import > Import Owners.
It is recommended that you use the Export Existing Job Sites option to download an Excel that you will use as your template to import the sites back in.
When importing sites, the Type column and row order are the two areas to be mindful of.
- Type column determines which level the site should belong in the site tree; C for Descendants and D for Divisions
- To ensure that the proper Divisions end up under the correct Descendants when importing, utilize the row order on the export. A descendant is followed by the corresponding divisions, then the next descendant and its following divisions.
When you are ready for import, on the same page you exported you can attach the template to import back in.
Employees
To import employees click on Setup > Import > Import Users.
Following the same steps as Job Sites, download the Excel template using the Export Existing Users option.
