What changes have been made to the forms module (inspections, incidents, meetings)?
Managers can now distribute forms to specific groups of users
We’ve added a “Company Lookup” question type
The employee lookup question type now contains the Employee ID and the Company name. If the companies module is disabled then it will only display the Employee Name and Employee ID (not the Company name)
Check out this video on the new enhancements to forms with the new eCompliance Companies Module
What are the new distribution options for forms?
These distribution options can be enabled/disabled on the form template.
These are the following groups:
Everyone - All employees and all contractors: all eCompliance users (employees and non employees) can access this form)
Employees at your organization only: Only employees at your organization can access this form
Subcontractors: All users that have the type subcontractor can access the form
Specific companies only: All users that are assigned to the chosen companies can access the form
All employees and specific companies only: All employees and all users that are assigned to the chosen companies can access the form
How does the company lookup question type work?
This works similar to the employee lookup field. Once it is added to a form, when completing the form users can search for a company name and select the company. Both active and inactive companies will be displayed as options to select.
How many company names can be added to this field when completing the form?
Up to 100 company names
Can a user attach a company to a question type similar to how they can assign an employee or an asset?
No, they can not.
Does the company lookup question type have image, asset, and employee attachment options?
A user can only attach an image, asset, and write notes for the company lookup question type.
What happens when a template is created and has only one question which is a company lookup question type and published when companies module is enabled, but then. Companies module gets disabled
In this scenario, since the template has only one question, once Companies module is disabled the form with have no questions. To avoid this scenario eCompliance will not show the form in the list of templates under “Start new Inspection”. This applies to all forms in eC (inspections, incidents meetings)
Companies module enabled
Template A created
Template has only one question: company lookup
Companies module disabled
Template is still available however users can not create any forms from this template
What changes have been made to the employee lookup question type
The employee lookup question type now contains the Employee ID and the Company name. If the companies module is disabled then it will only display the Employee Name and Employee ID (not the Company name).
