This enhancement gives you visibility into which notifications are enabled or disabled across your team - this will ensure that the right people get the right alerts at the right time.
This guide will walk you through how to access, use, and apply this new reporting capability.
Why It Matters
- Admins can use these new fields to monitor notification coverage across all roles and regions. Focus on things like policy enforcement, compliance assurance, and identifying organization-wide gaps
- Managers can leverage this data to ensure your site(s) or team(s) are set up to receive timely alerts. Focus on localized compliance, team responsiveness, and training coverage.
What's New
The Employees and Permission Groups Explore now includes a dedicated Email Settings section with dimensions reflecting each user's email notification preferences as set in each individuals users profile Email Settings section. Notifications can be toggled ON or OFF for the following areas and actions:
- Action Items - Accepted, Awaiting Approval, Allocated, Declined, Rejected, Terminated
- Inspections - Submitted, Signed Off
- Incidents - Submitted, Signed Off
- Meetings - Submitted, Signed Off
- Documents - Read Acknowledgement Required
- My Stuff Overdue Action Items and Documents - Frequency of Mon-Fri/Weekly/Monthly/Never
- Organization Stats - Frequency of Mon-Fri/Weekly/Monthly/Never
- Expiring Training Certificates - Frequency of Mon-Fri/Weekly/Monthly/Never
- Training Certificates Expiring Within a Period of Time - Frequency of 30/60/90/120 days
Understanding Key Fields and Filters
Start with Contextual Filters
Apply filters to narrow scope early in the report creation process. Recommended filter areas and fields include:
- By Permission Groups or Job Profile
- Site or Rollup Site for Managers focusing on their areas of accountability
- Employee Status i.e. Active/Inactive
By applying these filters upfront, it will reduce data volume and ensure analysis is focused an actionable.
Employee Count
The Employee Count field should be selected as the measure to provide the baseline for analysis. It will provide the total number of users based on any selected Email Settings fields selected or filtered on.
Use Case Example
If you filter for Site Manager job profile, and the new email setting field for Incident Report Signed Off as 'Off', compare the result to Employee Count to see what percentage of managers lack this critical notification.
Main Purpose vs. Limitations
New Email Notification Reporting Fields are Great For
- High-level notification coverage audits

Limitations
- Cannot directly influence changing user preferences - users or groups will still need to be contacts to adjust their own settings
- Does not allow for deeper dive analysis like email deliverability or engagement metrics. For example - to see if users are opening the notification emails.
Performance Tips
Tip #1 - Leverage Baseline Filters Early On
Filter your report early by fields like Site/Roll-up Site, Permission Group, or key email settings to improve query performance.
Tip #2 - Keep it Simple By Grouping Results
If you're pulling data for a larger section of your organization or group of employees, try grouping visualizations by fields like Site or Job Profile. Especially if more granular details around employees are not required. This helps keep your report clear and easy to read without too many rows to sift through.
