What are Action Items?
Action Items are tasks that are assigned from one user to another within eCompliance.
Who uses Action Items?
All users who have been sent an eCompliance invitation to login can receive Action Items. If default permission groups are used, any user who has Contributor access and above within eCompliance can assign and receive Action Items. If custom permission groups are used, by default they will be able to receive Action Items, however, the permission to assign Action Items is customizable.
Why use Action Items?
Action Items are used to increase accountability and ensure that preventative and corrective measures are executed in a timely manner. They are a way to keep track of who is assigned what task, where the task was initiated from, when it is completed, and how it is completed.
When to use Action Items
Action Items can be used any time a task is identified. This can be while completing an Inspection, recording an Incident, recording a Meeting, completing Program requirements, or any other activity.

Understanding the Action Item process
There are multiple processes an Action Item can go through. The following diagram illustrates the multiple options:

Assign an Action Item from a form
- Tap the list icon under any question within a form
- Complete the following fields:
- Action Required
- Priority Ranking
- Assign to
- Due Date
- Tap OK
Note: After the form is submitted, the Action Item will be assigned, and it will appear in Action Items under your Pending tab with the status of Pending Acceptance. If you assign an Action Item to yourself, it will appear in Action Items under your To Do tab with the status of In Progress.
Assign an Action Item outside of a form
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Tap the + icon
- Complete the following fields:

- Site
- Action Required
- Action Description
- Resource Required
- Priority Ranking
- Target Start Date
- Due Date
- Assign to
- Action Taken. Note: This field is only to be completed if you are a recording an Action Item that you have already completed.
- Attachments
-
- Tap the camera icon to include an image
-
- If the image is already saved on your device...
-
- Tap Choose from Library
- Select the location of the image on your device
- Select the image
- Tap Done.
- Note: If you would like to attach multiple images, repeat steps

- If you would like to take a new photo...
- Tap Take Photo
- Take a photo
- Tap Use Photo or tap the check mark icon. Note: This option depends on the type of device
- Tap Done.
- Note: If you would like to attach multiple images, repeat step
- If the image is already saved on your device...

- Tap Create OR Create & Complete if you are recording an Action Item that you are simultaneously completing or has already been completed
Note: After the form is submitted, the Action Item will be assigned, and it will appear in Action Items under your Pending tab with the status of Pending Acceptance. If you assign an Action Item to yourself, it will appear in Action Items under your To Do tab with the status of In Progress. If you assign an Action Item to yourself and tap Create & Complete, it will appear in Action Items under the To Do tab with the status of Pending Approval.
Accept an Action Item
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Under the To Do tab, tap into an Action Item with the status of Pending Acceptance
- Tap Accept
- Tap Ok
Note: Once you accept the Action Item, you will be able to complete it on the same screen. If you do not wish to complete it at that time, it can be found in Action Items under your To Do tab with the status of In Progress.
Decline an Action Item
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Under the To Do tab, tap into an Action Item with the status of Pending Acceptance
- Tap Decline
- Enter a reason for declining
- Tap Ok
Note: Once you decline an Action Item, it will be removed from your app.
Complete an Action Item assigned to you
Note: If you have just accepted the Action Item, skip to step 4.
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Under the To Do tab, tap into an Action Item with the status of In Progress or Rejected
- Complete the following fields

- Action Taken
- Attachments

- Tap the camera icon to include an image

- If the image is already saved on your device...

- Tap Choose from Library
- Select the location of the image on your device
- Select the image
- Tap Done.
- Note: If you would like to attach multiple images, repeat these four steps.

- If you would like to take a new photo of the certificate...

- Tap Take Photo
- Take a photo as needed
- Tap Use Photo or tap the check mark icon.
- Note: This option depends on the type of device.
- Tap Done.
- Note: If you would like to attach multiple images, repeat these four steps.

- If the image is already saved on your device...
-
- Tap the camera icon to include an image

- Tap Submit. Note: You can tap Save to preserve any details before submitting.
- Tap Ok
Note: Once you submit the Action Item, it will appear under your Pending tab with the status of Pending Approval.
Approve an Action Item
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Under the To Do tab, tap into an Action Item with the status of Pending Approval
- Tap Approve
- Tap Ok
Note: Once the Action Item is approved, it will be removed from the mobile app.
Reject an Action Item
- Open the eCompliance app and log in using your credentials
- Tap Action Items
- Under the To Do tab, tap into an Action Item with the status of Pending Approval
- Tap Reject
- Enter a reason for rejection in the resulting pop-up
- Tap Reject
Note: Once the Action Item is rejected, it will appear under the Pending tab with the status of Rejected. Once the assignee revises and re-submits the Action Item for approval, it will appear under your To Do tab with the status of Pending Approval.
