Using Actions
Issuing Action
Actions can only be issued during an event and not outside of performing an event. The reason being is that actions are a direct link to a specific problem that was found during a event requiring further actions which is outside of the scope of the event being completed.
Issuing an action only takes a second. Simply click on the + beside a criteria and select the Action button. You will see a simple form with the following fields.
Issuing Event
The event that the Action was created from is called the Issuing Event. This has some very useful data that will help the user being assigned the action.
Since Actions are created on the criteria level the following information is automatically included when you create an action:
- User performing the event
- Section, Criteria and Result where the Action was created
- Any photos and notes that were added to the criteria
- Email notification sent to the assigned person or to a Group
Tracking and Reporting
Once you assign an action to be completed you will most likely want to track and report outstanding, completed and overdue actions.
Dashboard
To see all outstanding actions add the ‘Work’ widget to your Dashboard. This will show a calendar and list view of all upcoming scheduled events including actions.
To filter your calendar to show specific actions or for a specific employee click on the configuration icon on the widget and use the filters.
Email Notifications
You can setup unlimited email notifications based on any number of filters and criteria by using Field ID’s Saved Reports and Schedule Future Runs functionality. Click on ‘Reporting’ from the top menu. We will provide the filters to apply for 3 common notifications you may want.
Open Actions Due This Month Filter
a) Event State: Open
b) Search Type: Actions
c) Due Date: This Month
d) Event Type Group (optional): Select your Action Event Type Group (i.e. Actions)
e) Event Type (optional): Select Action (i.e. Corrective Action)
Overdue Actions
a) Event State: Open
b) Search Type: Actions
c) Due Date: Yesterday
d) Event Type Group (optional): Select your Action Event Type Group (i.e. Actions)
e) Event Type (optional): Select Action (i.e. Corrective Action)
Once you have selected your filters click ‘Search’. Now that you have your results we can set this up to be sent via email at a set schedule.
Asset Profile
From the profile page of the specific asset you have issued actions for you will be shown a snapshot of the next 3 upcoming events (actions and normal events).
To get more upcoming events click on the events tab. You will see a list of all Open events, which will include your Actions.
