Overview
Asset Types in Field ID are used to describe the different types of items you are going to track in Field ID. Examples of Asset Types are Fire Extinguishers, Chain Slings, Facility, Employee, Job Site or Bucket Truck. You will setup the descriptive attributes that describe the asset type. This will describe how to setup fully custom Asset Types from scratch.
Adding New Asset Type
To add a new Asset Type into your Field ID account go to Setup > Assets & Events > Asset Types and click Add in the right corner. This will bring you into the Add Asset Type form.
Required Information
The only required field when adding a new Asset Type is the name. This is the general name of the Asset Type. For example, Hoist, Trolley, Room, Facility, Employee.
Asset Description Template
The Asset Description Template will allow you to build a dynamic description of the asset based on the information that was entered. The template is based off the attributes that have been set up for the asset type. For example, if we have an asset type Fire Extinguisher and we record the Manufacturer, Color and Type. We may want a description that includes these three attributes. To build this in the Asset Description Template box we would enter:
Enhanced Asset Description
On each Asset Type, you have the opportunity to craft a custom description based on the asset’s attributes. We have extended this to include the Identifier, RFID Number, Reference Number, PO Number, and Order Number. Optional Information
- Group - allows you to nicely group similar Asset Types together. To read about groups please see Asset Type Groups
- Warnings - enter any warnings you would like users to see when viewing the asset information
- More Information - enter any other text you would like users to have access to
- Cautions URL - Clickable link on the asset profile page
Manufacturer Certificate Details
If you have enabled Manufacturer Certificates for your Field ID account you will have the option on each Asset Type to indicate if you would like to provide a Manufacturer Certificate and text you would to appear on the certificate. If you do not issue a certificate for this asset type leave the box unchecked.
Asset Image
The asset image is the default image that will be used on the profile page for each asset of this type. We suggest that you upload a generic image of this asset for quick visual identification when using Field ID. The image will look best if sized to 300px wide. When identifying an asset of this type you will have the option of upload a specific image for the asset.
Attributes
Attributes are used to set up fields that will allow you to enter information to describe the asset type. Some common attributes are Manufacturer, Type, Diameter, Length, Size, Color. Typically, any information that your current record about an asset will be set up as an attribute. Auto Attributes can be configured to automatically select certain fields, to learn more click on the Auto Attribute link.
On each Asset Type there are attributes that are included automatically and do not need to be created. These include:
- Serial Number
- RFID / Barcode
- Customer
- Location
- Purchase or Order Number
- Asset Status
Types
There are 5 different types of inputs that attributes can be.
- Text Field - a simple text entry box
- Select Box - a predefined list of options to select from (Separate the entries with a comma and a space)
- Combo Box - a predefined list of options that can be overridden with a custom value (Separate the entries with a comma and a space)
- Unit of Measure - standardizes all measurements recorded in your account
- Date Field - capture the date and optionally time using a calendar
- Default - depending on the type of entry box you select there may be options that you can define as the default behavior
- Required - if this is a required attribute check the box. All required attributes will be denoted with a *
Attachments
Upload any documents, images or support information that you would like to all users to have access to. For large files please compress them into zip files.
Linking Event Types
Once you have created a new Asset Type it is important to link that with Event Types. Click on the Event Type Associations tab from the top and select all existing Event Types you would like to perform on this Asset Type. For more information on creating Event Types please see Event Types.
Setting up Recurring Schedules
For each Event Type that you have linked to your Asset Type you can setup recurring schedules. Please see Setting up Recurring Schedules
Configurable Options
Asset Status
Asset Status is a global field that is included on all asset types. This is a configurable list that is meant to display the most current status of your asset. To configure your asset status list go to Setup > Assets & Events > Asset Statuses
Field ID comes with some default statues that you can remove or add to. To remove an existing asset status click on the Archive link. To add a new asset status click on the Add tab. These options are shown in the asset status drop-down when adding a new asset or performing an event.
Serial Number
By default each asset type uses a Serial Number as the required primary identifier. Although each asset type uses this as the primary identifier you have the ability to change the label per asset type. For instructions on how to change the label please see Identifier Format & Overrides
