This document outlines the export options available in each eCompliance module. Most modules offer a Lite List View export for quick data extraction. For form data, exports are only available as individual PDF files - bulk export is not supported. Use this guide to understand the different export options and fields included in each module's exports.

Employees Module
The Employees module in eCompliance provides multiple export options designed to support the specific needs of managing employee data. Each export serves a different purpose, offering variations in the level of detail and format. Below are the details for the three export options available in the Employees module.
Lite List View Export
The Lite list view export provides a quick way to generate an Excel export of all employees visible in the current view. This feature is available at the top of the Employees table via the 'Export' button.
Details
The export reflects the list view currently being displayed on the screen, which is affected by the selected tab or filter options.
Export Variations
- All tab - Exports a list of all currently active employees
- Internal/External tab - Exports a list of all current employees in either list, depending on the selecting.
- Show all employees (including terminated) - Displays all current and terminated employees under any tab, which will be reflected in the export.

Use Case
The Lite list view export is ideal for users who need a simplified list of employee data based o their current screen view without navigating to another menu or export feature.
Templated Employees Export
The templated Employees export provides a comprehensive Excel export of all employees in the organization, regardless of employment status or internal/external designation. This export can be accessed via the Import/Export Employees button in the Manage employees menu.
Details
This export generates an Excel spreadsheet with detailed information, representing each employee's access to specific sites. If an employee has multiple site permissions, they will have separate entries for each site with corresponding job profile and permission group details.
An audit trail of all previous exports and their timestamps is available on the Export Template page.

Use Case
The Templated Employees export is suitable for users who need a full record of employee data across multiple sites and job profiles, providing a more detailed view of employee access and permissions.
Templated Training Certificates Export
The Templated Training Certificates Export allows users to extract training-related information for employees, with options to filter data by Course, Retraining Date, Employee, or Job Profile. Each export option has its own criteria and layout, making it easier for users to generate specific training reports they need. This export can be accessed from the Training Reports menu within the Employees module.
General Export Formats & Fields
For all export options there are three available formats:
- View Report on This Page - Displays a detailed table view on the same page, with data tables grouped by course.
- Download PDF Report - Exports a PDF file with data tables grouped by course.
- Download Excel Reports - Exports an Excel file with an additional column for Course Name, providing a consolidated view of all data in a single spreadsheet.

Export Options & Details
1. By Course - Export training certificates aggregated by course name, allowing users to filter based on certificate validity and requirements.
Filter Options
- Search Bar - Search for and select a specific course name using the search bar.
- Use the checkboxes to select individual courses for the report.
- Valid Certificates - Will select only includes certificates that are currently valid and not expired.
- Outstanding Certificates - Will include all outstanding certificates, excluding expired certificates not marked as a 'requirement'.
- All Certificates - Will include all certificates, regardless of validity or requirement status.
2. By Retraining Date - Export training certificates filtered by when retraining is required.
Filter Options
- Search Bar - Search for and select a specific course name using the search bar.
- Use the checkboxes to select individual courses for the report.
- Retraining required by:
- Today
- 1 Month
- 3 Months
- 6 Months
- Specific Date (select via calendar)
- Valid Certificates - Will select only includes certificates that are currently valid and not expired.
- Outstanding Certificates - Will include all outstanding certificates, excluding expired certificates not marked as a 'requirement'.
- All Certificates - Will include all certificates, regardless of validity or requirement status.
3. By Employee - Export training certificates grouped by employees, showing all certificates associated with each employee.
Filter Options
- Search for specific employee names using the search bar.
- Use checkboxes to select individual employees for the report.
- Valid Certificates - Will select only includes certificates that are currently valid and not expired.
- Outstanding Certificates - Will include all outstanding certificates, excluding expired certificates not marked as a 'requirement'.
- All Certificates - Will include all certificates, regardless of validity or requirement status.
4. By Job Profile - Export training certificates grouped by job profile, providing visibility into training compliance for specific job roles.
Filter Options
- Search for specific Job Profile names using the search bar.
- Use checkboxes to select individual Job Profiles for the report.
- Valid Certificates - Will select only includes certificates that are currently valid and not expired.
- Outstanding Certificates - Will include all outstanding certificates, excluding expired certificates not marked as a 'requirement'.
- All Certificates - Will include all certificates, regardless of validity or requirement status.
Use Case
The Templated Training Certificates exports are ideal for users who need to generate detailed training reports tailored to specific courses, retraining dates, employees, or job profiles.
Action Items Module
The Action Items module in eCompliance allows users to track, manage, and export action items based on their current view. The export functionality provides a quick and simple way to extract action item data into an Excel file for further analysis or record-keeping.
Details
- Default View- When first accessing the Action Items module, the table by default will only display action items that are incomplete or upcoming. Exporting in this state will generate an Excel file containing only these action items.
- Show all action items (including completed) View - By clicking this link, the table view will refresh to include all action items, regardless of status. Exporting from this view will generate an Excel file containing all Action Items in the current selection.

The Lite Action Items list view export is ideal for users who need a quick way to generate a report of action items, either to review upcoming and incomplete items or to capture a complete record of all action items.
Documents Module
The Documents Module in eCompliance provides multiple export options tailored to document management and acknowledgement tracking. These options enable users to extract document details, acknowledgement statuses, and public document information for further analysis or record-keeping.
Lite List View Export
The Lite List View export provides a quick export of the documents displayed in the Documents table. This export can be accessed at the top of the Documents module page by clicking the Export button.
Details
The export generates an Excel file containing all documents currently displayed in the module view.

Acknowledgement Report Export
The Acknowledgement Report export provides a detailed view of document acknowledgements by each user. This export can be accessed by clicking the Acknowledgement Report button at the top of the Documents module page, which directs users to the Acknowledgement Report by User page.
Details
The export generates an Excel file that breaks down which documents have been assigned to each user and whether or not the document has been acknowledged.
Fields included in the export:
- User (Name)
- Document
- Read
- Displays Yes followed by the acknowledgement date if acknowledged.
- Displays No if not yet acknowledged
Format Note
Note that the export is structured in a grouped format by user. Each user appears once with their name in the User column, followed by their corresponding documents listed in subsequent rows. The Document and Read fields are populated for each document assigned to the user, but the User field will only display the user's name once.
Public Documents Export
The Public Documents export provides a view of all documents that have been marked as Public in the Documents module. This export can be accessed by clicking the Public Documents button at the top of the Documents module page, which directs users to the Public Documents page.
Details
The export generates an Excel file containing all public documents listed in the module.

Use Case
The export functions in the Documents module provides users with the ability to extract and analyze document-related data for various purposes, such as tracking modifications, monitoring user acknowledgements for compliance, and managing public document accessibility. These export options are designed to help users efficiently organize and review document information, ensuring all necessary details are captured in a structured format for reporting and record-keeping.
Hazard Assessment Module
The Hazard Assessment module in eCompliance provides several export options that allow users to extract information on hazard assessments, individual hazards, and their associated controls. Each export option offers a different level of detail, enabling users to review, analyze, and report on hazard-related data.
Lite List View Export
The Lite List View export allows users to generate an Excel file containing an overview of all Hazard Assessments currently available in the module. This export capture key information about each hazard assessment and can be accessed using the Export button at the top of the table view.

Export All Hazards
The Export All Hazards function provides a detailed list of all hazards currently available with the system.
This export can be accessed through the Manage menu by navigating to the Export/Import Hazards page and selecting the Download Excel File button.

Export All Controls
The Export All Controls function allows users to export a comprehensive list of all hazard controls within the Hazard Assessment module.
This export is accessed through the Manage menu by navigating to the Export/Import Hazard Controls page and selecting the Download Excel File button.

- ID
- Description
- Control Type
- Should Display (True/False)
Use Case
The export functions in the Hazard Assessment module support users in managing and tracking their hazard assessments, individual hazards, and associated controls. These options provide an organized view of hazard-related data, aiding in effective hazard management and compliance.
Companies Module
The Companies module in eCompliance allows users to create and manage company profiles. These export options provide visibility into company information and site-specific access, supporting the management of suppliers, subcontractors, and clients.
Lite List View Export
The Lite List View export provides a quick summary of all active companies in the module by generating an Excel spreadsheet when clicked. Users can access this export via the Export button at the top of the Companies module table view.
Details
- Default view - Shows a list of all active companies.
- Show All Companies (Including Inactivated) View - When selected, this option will refresh the page to include all companies, regardless of status (Active/Inactive).

Templated Companies Export
The Templated Companies export provides a detailed Excel file with comprehensive information on each company profile within eCompliance, including site-specific permissions.
This export can be accessed by navigating to the Import/Export Companies option under the Manage menu in the Companies module and selecting the Export All Companies button on the Export Template page.
An audit trail of all previous exports and their timestamps is available on the Export Template page as well.

Use Case
The export functions in the Companies module enable users to extract and analyze company-related data for effective management of suppliers, subcontractors, and/or clients. These exports provide a structured view of company details and site-specific permissions, supporting streamlined access management.
Assets Module
The Assets module in eCompliance provides a robust set of export options, allowing users to extract detailed information on organizational assets, asset groups, and asset types. This module supports the management of assets that can be linked to various areas within eCompliance including forms, and sites within the system.
Lite List View Export
The Lite List View export allows users to quickly generate an Excel file containing details of each asset in the system. This export can be accessed via the Export button at the top of the Assets module table view.
- Default view - When first accessing the Assets module, the table by default will display assets for all sites.
- Change Scope... view - Clicking the Change Scope... button will allow the user to filter the table to 'Current Site and Below' which will refresh the page and show assets that are only assigned to sites at the current site the user is at or any child sites below that.

Templated Assets Export Options
The full templated export options provide a comprehensive view of assets, asset groups, and asset types within eCompliance. These exports can be accessed by navigating to the Asset Import and Export option in the Manage menu on the module's main page.
Export Options & Details
The Export tab will be the default view on the Import/Export Assets page where users can select from the following three export options.
1. Export Asset Groups - Generates an Excel file containing a list of all asset types defined for the organization.

2. Export Asset Types - Generates an Excel file containing all asset types defined for the organization.
Fields included in the export:
- ID
- Name
- Description
- Group ID
- Attribute ID
- Attribute Name
- Attribute Type
- Attribute is Required (True/False)

3. Export Assets - Generates an Excel file with detailed information on all assets within the organization. Each record represents a unique attribute assigned to an asset as well as additional details for that asset.
