1. Overview
The Company Hours feature allows admins to enter the total number of Company hours that can be used to calculate your organization's TRIF for Standard Sections. Check out the article here to learn where this calculation is used.
In eCompliance, you can use Company Hours to track and report. The hours must be manually inputted through the importing function or edited directly on the page. Only companies with the 'View Company Hours' and 'Edit Company Hours' can access the Company Hours page.
Company hours are calculated by total hours per site per month and can be filtered by year.
There are three different ways you can enter and edit your organization's Company Hours:
- In-app editing
- Import/Export using an Excel file
- API PUT methods (HERE is a link to our API documentation)
This article will detail how to edit your organization's Company hours with In-app editing and importing/exporting. (For the API method, please reach out to a member of your organization's team who has expertise in using API - all supported methods are documented in our API documentation)
The feature is under the Home Page >Site Operations > Company Hours.
2. How to Import Company Hours
1. Login to eCompliance at my.ecompliance.com
2. Navigate to the Companies module
3. Click on the magnifying glass icon next to the company name
4. Click on the 'Company Hours' tab
5. Click the 'Export Company Hours' tab, select the year you want to import Company hours, then click 'Export'.
Note that when importing Company hours, you must first export the file for the importing template.
6. Record the Company hours in the Excel sheet. Refer to the Import Rules to ensure a successful import.
2.1 Import rules:
- Make sure that all rows are filled out. The import will not be completed successfully if the file has blank rows.
- The imported numbers will overwrite existing numbers in the system
- The Site ID, Month, and Year columns are required. If the cells are blank, the import will not be completed successfully.
- You must use an existing Site ID. For instructions on how to find a site ID, see the next section of the article.
- Site IDs cannot be duplicated.
- Company hours must be a positive number. The system will not accept negative Company hours.
7. Once you're done with the edits on the Excel sheet, save the file and return to the eCompliance 'Company Hours' page.
8. Click 'Choose File' and locate the Excel file saved in step 7.
8. Click the 'Import' button to upload the file.
2.2 How to find your site ID:
To find the site ID for an existing site, click on the site navigation icon on the top of the page, then hover over the name of the existing site in your site tree. The ID number of the site your cursor is hovering over will be shown in the URL at the bottom of your web browser.
3. How to add/edit Company Hours on the Web App
Instructions:
1) Click on the Companies module
2) Click on the magnifying glass under the View column next to the name of the company that you'd like to edit the hours for
3) Click on the Company Hours tab
4) Click on the Edit button
5) Enter a number value into each of the table's cell for each month and for each site
Field rules:
- The values need to be numerical characters can include two decimal places
- Cannot be a negative number
- Cannot include alphabetical characters
- Cannot use special characters
- Cannot have spaces in between the numbers
5. Click the 'Save and Close' to apply the changes
4. Tips and Other Information
Some things to note when exporting Company Hours:
- Hours can only be exported for 1 year at a time
- Values entered accepts numbers with up to 2 decimal places
- Years are automatically added when the next year comes
