Once you have downloaded the Field iD app and opened it up for the first time, you'll need to put in your Company ID - you can find your Company ID from two places:
1. The Field iD URL: https://COMPANYID.fieldid.com
2. Setup > Settings > Your EcoOnline Field iD Plan
Then you can log in with your Username and Password or with the Mobile Passcode if you have set this up in your account.
To set up your Mobile Passcode, tap on your name in the upper left-hand side of the web, navigate to the Mobile Passcode tab, and tap on Create your passcode now.
Note: You will only need to put your Company ID in once, after that point the app will keep you logged in when you close it, unless you deliberately choose to log out.
Once you're logged in, the landing page will show you the sites that you have access to which you can select to go into and see the sites and assets within:
In the top left of the screen, you will see 3 horizontal lines (see image above) indicating the menu providing you with the following options which will be explained below:
Search for an Asset - quick search if you know some of the key asset details (name, reference number, etc.)
Sites - landing page of the application shows you which sites you have access to
My Work - find any upcoming events that have been assigned to you to complete
Drafts - see any draft events you have started or are in progress but have not been submitted yet
Search Builder - a more advanced search with more filter options to help you locate a particular asset
Mass Events - conduct an event against multiple assets of the same type
Lockout/Tagout - list of assets organized by those with procedures and those without
Sync & Connection - check when your items last synced with the cloud, force a sync, and take the application offline
Settings - personalize your My Work, Camera, and Asset settings
Help & Feedback - submit help requests, problems, comments, and/or suggestions to our support team
What's New - find information regarding any new features or changes to the application
Logout - choose to log out of the application
New Assets
If you have the relevant permissions, you will be able to add new assets through the mobile app as well as from the web version. The process is a little bit different, but the information to capture about the asset is the same (See Lesson 2 - Assets).
On the mobile app, you first need to enter the site that you want to create the asset for - once you have tapped on a site and navigated to the level you want to create the asset for, you can tap on the orange plus icon in the bottom right-hand corner:
You will then be taken to the Create an Asset page which looks different from the web version, however, the mandatory and optional fields to complete are the same:
Once you have put in your asset details, you can either just save the asset or save and start an event straight away to inspect that asset.
Asset Details
Viewing as an asset on the app is again a bit different from the web version. You can either use the quick search bar at the top of the menu, use the Search Builder in the menu or navigate your way through the sites from the site landing page to find the asset you're looking for:
Once you have selected the asset you're looking for, you will be taken to the asset's details page as follows:
You can see from the orange underline on the grey bar at the top that we are on the Details page - you can actually scroll across on this grey bar to see the following additional tabs: Completed and Timeline. Below is an outline of what each tab shows you:
Details - the details of the asset
Events - any scheduled upcoming events and the event types available for the asset if you want to start an ad-hoc event
Files - any files regarding that asset (e.g. manufacturer certificate, instructions, warnings, etc.)
Completed - all past events and their result
Timeline - an audit trail of what events have taken place, where, and by who
Event Workflow
To start an event, tap on the Events tab to see any Scheduled events for this asset or Unscheduled events - the Event types associated with this asset type that can be conducted ad hoc:
Once you select your event, you will initially be taken to the Event Details page:
From here, there are 2 ways you can navigate through and complete your event (see image above):
- Navigate through the sections in a linear fashion by tapping on the orange arrow in the bottom right corner
- Jump to different sections using the page/section selector:
After the Event Details page, you will then have a page per section that you created when setting up the Event Form (See Lesson 3 - Events Basics) which you will work your way through answering the questions until you reach the end:
To the right of each question, you will sometimes see a question mark icon (you will see this for questions that you added Criteria Instructions to) and you always see a paperclip icon that will provide you with the following options:
Deficiency - You can either select from a list of pre-defined deficiencies that you set up for this question or create an ad-hoc one by entering a comment and then 'Done'
Recommendation - You can either select from a list of pre-defined recommendations that you set up for this question or create an ad-hoc one by entering a comment and then 'Done'
Photo - You can add multiple images to a question by either selecting from your phone gallery or by launching the camera from within the app and taking a photo there and then
Corrective Action - You can create an associated corrective action event from this question to assign to someone who will be emailed once the event is submitted
As you're completing your event, you will notice that at the top of the page, a banner will occasionally appear to inform you that a draft of the event so far has been saved.
At the bottom of every page, there is a 'Save Draft' button which you can press to force a save to ensure all your work has been captured up to that point.
Once you have made your way through all of the event sections, the end will have two final pages to complete before you submit your event:
Results & Comments - this is where you select the Result, Event Status, update the Asset Status if required, add any comments about the event, and schedule an ad-hoc follow-up event
Attachments - here you can upload any other attachments relating to the event as a whole rather than to a particular question
On the Attachments page, instead of seeing an orange arrow in the bottom right-hand corner, you will see an orange tick instead. When you are ready to submit your event, tap on this and then confirm.
Note: To submit an event you must have access to the internet. Otherwise, it will fail to upload to the cloud and it will remain in your Drafts.
Start From Previous
On the mobile app, there is another way you can start an event and this option is useful for events that are more frequent and routine, events that are not expected to vary a large amount - this functionality is called 'Start from Previous' and will be explained further down this section.
If an asset has a GPS location and recent event activity, this information will display above the asset details:
In this image, you will notice a couple of indicators:
Offline - as the asset in question has a scheduled event upcoming, the system automatically takes the asset offline to allow the event to be completed without internet to prevent a poor internet connection and prevent it from being completed
View Only - the only actions available are to view the event reports
For the events that are not 'View only reports", you will see more options available when you tap on the 3 vertical dots to the right of the event:
Observation Report - This PDF output will only show you any Observations noted during the event
Inspection Report - This PDF output will show you the completed event including all answered questions
Start from Previous - This will allow you to begin a new event of this same type but carry over the answers, images, and comments in this selected event. This option is only available on the most recently completed event of that type - you cannot start from an older event
Edit Event - This will allow you to go into the event after it is submitted to make any required changes and resubmit the event for completion again
Note: Whilst the 'Start from Previous' function is a great way to make the inspection process more efficient, especially when completing frequent routine events, it should be used with caution and every question should still be read, the answer confirmed, and any images from the previous event removed.
LOTO (Lockout/ Tagout)
LOTO events can only be completed from the mobile app, not the web, as it is designed for the people who are completing the procedures and the procedure audits when they are in front of the assets.
From the main menu (the three horizontal lines in the top left-hand corner), you will see a LOTO option. When you tap on this, you will see a breakdown of assets with and without an existing procedure. You can also filter this screen by a specific site if you have access to more than one - this will help you easily navigate to the asset you're looking to lock and tag out:
When you tap on the asset, you can then tap on the 'Events' tab and you will see a Procedures option - tap on this and select the procedure available to begin the event:
In the LOTO event, you have two tabs to review:
DETAILS: Start the event by selecting the reason you are locking out this asset (See Lesson 5 - LOTO for how to set these options up):
ISOLATION POINTS: Tap on the individual isolation points to see the lockout device and method to use and execute the isolation:
Once you have reviewed and actioned this on the asset itself, tap on 'Complete Step' at the bottom of the page in orange to confirm this:
It will then indicate that the step has been completed and zero energy is going through the asset:
This asset is now officially locked out and this message will show on the asset whether it is being accessed by the app or web. To unlock the asset, you will need to tap on 'Procedures' on the app or tap on 'View Progress' on the web to then complete the steps in the reverse order to re-energize the asset again:
You can also add new procedures from the app as well as from the web. To do this, when you're on the asset's profile, swipe from right to left on the grey bar at the top to view other available options and tap on the 'LOTO' tab.
This will show you a list of procedures available for that asset and if you have the permission to author, you will see the orange 'Add Procedure' button as well. This will allow you to create and author the procedure as you're standing in front of the asset to make it easier to take and upload images of the isolation points required:
My Work
If you have events assigned to you, you can easily locate these by tapping on the 3 horizontal lines in the top left corner to open up the application menu and select the second option down, 'My Work'. Here you will find any events that have been assigned to you in order of the most recent due date. To start one of these events, all you need to do is tap on it to open it up and begin:
Drafts
On the application menu, the third option down is your Drafts page. Here you will find any events that you have started but have not been able to complete and submit for any reason. You can open these back up by tapping on the event you want to continue with and then pick up where you left off:
Mass Events
As well as on the web, you can also conduct a mass event against multiple assets of the same type from the mobile app - however, the flow looks a bit different. First, open up the menu by tapping on the three lines in the top left and then select 'Mass Events'.
Step 1
Select an asset from the group of ones you want to inspect to start off with:
Note: You can only choose one at this stage.
Step 2
Then, select the event type that you want to conduct against the assets:
Note: You can only choose one event to complete against all the assets.
Step 3
Here is where you can select all of the other assets of the type that you're inspecting to be included in this mass event.
Note: The outcome of the event will be the same for all the assets selected to perform the event against. If any asset should have a different answer to any questions, then you must remove that asset and conduct an event against it individually (e.g. You have just received five new fire extinguishers of the same size and type to replace existing ones and you're conducting an initial inspection to check they're not faulty. Four of them are in good condition and ready to replace the existing ones so you can perform a mass event against these four assets. However, one has a dent in the side which needs to be captured in the event, so this fire extinguisher will need to have a separate event completed for it).
Syncing & Offline Mode
The Field iD mobile app allows for events to be completed without an internet connection providing the assets you want to inspect have been taken offline. The system automatically takes assets offline if they have upcoming events scheduled. However, if you wish to complete an ad-hoc event on particular assets, you will need to do this first before you enter an area with poor or no connectivity. To do this, navigate through the Sites to locate the asset(s) you want to take offline - if they are already offline, you will see the label on the right of the asset name showing that it is offline:
If you do not see this label, swipe from right to left on the asset and you will see the 'Take Offline' option to select.
While you don't have to take the application offline when going into areas of low or no connectivity, it is recommended to do so once you have ensured your assets can be accessed offline. The reasons for this is that offline mode will prevent your battery from draining as much as it constantly tries to search for a connection and it will prevent any potential issues with trying to load data as it goes in and out of connectivity. Keeping the app in a single offline or online state will help prevent issues with uploading events and assets. We recommend 'online mode' for a stable connection and 'offline mode' for an unstable connection.
To take the application offline once you have confirmed your assets are offline, tap on the 3 horizontal lines in the top left corner to open the menu and then go to Sync & Connection. On this page, you can see when the application last synced with the cloud and how up-to-date it is. From here, you can choose to force a sync if needed by tapping 'Update Now' or take the app offline by tapping 'Go Offline':
Once you have done this, you are now ready to enter into the area of no or low connectivity and complete your events. Once you have completed them, you can bring the application back online from the 'Sync & Connection' page and then let the application fully sync and submit any of your completed drafts.
Settings
From the application menu, you can access the settings which will allow you to change the following:
My Work - Change the number of days in the past and in advance that you can see events for
Camera Settings - Change the image quality and size. Enable if you want images taken from within the app to automatically save to your camera roll
Asset Settings - Enable download of All Events, All Attachments, and All Event Images when taking assets offline
Note: If these are enabled, taking assets offline may take longer than usual
Top 3 Takeaways from this lesson:
- Assets can be located through several routes in the application - choose the one that is most efficient for you based on the information you have about it
- You don't need to complete the event in the order of the sections, you can easily jump between them in an order that makes sense for the user
- Start from Previous is better suited for high-frequency inspections and checks (e.g. hourly or daily rather than monthly or yearly.

- Locate an asset of your choice through each route (quick search, search builder, and navigating through the sites)
